Count your stock
Inventory counts how many of an item you have. It is off until you turn it on, and it only counts the items you choose.
Turn it on
Section titled “Turn it on”- Open Marketplace and choose Inventory.
- Switch it on.
- Choose when stock comes off: when the job is complete, or when the customer signs.
Count an item
Section titled “Count an item”- Open the Pricebook and pick an item.
- Under Stock, switch on Track stock.
- Enter how many you have now with Count.
Labor is hours rather than things, so it is never counted.
You can set a low-stock level. When what is available falls to it, the item shows Low in the Pricebook and on the Today screen.
What the numbers mean
Section titled “What the numbers mean”- On hand is what is on the shelf: what you counted and received, less what finished jobs have used.
- Reserved is what signed jobs have set aside but not used yet.
- Available is on hand less reserved. It is what is left to sell.
Ten units with one on a signed job shows ten on hand, one reserved and nine available.
When something is counted
Section titled “When something is counted”- A proposal that is still a draft, or sent but not signed, does not count. You will see a warning in the proposal builder if it needs more than is available, but you can still send it.
- When the customer signs, the units are reserved. Only the option they chose counts, and only the change orders they signed.
- When the job is marked complete, the units come off on hand. If you chose “when the customer signs”, they come off at signing instead.
- If a job is cancelled, its units go back.
Nothing needs to be done for any of this. It is worked out from the jobs, so editing a proposal or cancelling a job never leaves the count wrong.
Add stock
Section titled “Add stock”- Count sets what is on the shelf now. The difference is kept in the item’s history.
- Add or remove changes it by an amount, with a reason such as damaged or returned.
- Mark received on a purchase order adds the counted items on that order, once.
Open an item to see which jobs have reserved or used it, and its history.
